Everything an Australian business owner actually needs to know — in plain English, minus the sci-fi.
Three words get thrown around like they're the same thing. They're not.
A chatbot answers questions. Ask, and it replies. Useful, but it waits for you.
An automation follows a fixed recipe: when this happens, do that. Reliable, but rigid — it only does exactly what you scripted.
An AI agent is given a goal and works out the steps itself. It can read information, make a decision, use a tool, check the result, and try again — with far less hand-holding. Think of a chatbot as someone who answers the phone, an automation as a vending machine, and an agent as a junior team member who can be handed a task and trusted to get it done.
The shift that matters: agents move you from "software you operate" to "software that operates for you." That's the whole game.
Don't start with the flashiest idea. Start where there's repetitive, rules-based work eating senior people's time. In a typical Australian SMB, the fastest wins are:
Notice what these have in common: high volume, clear rules, low creativity, and a real cost when they're slow. That's the sweet spot.
Every useful agent, however clever, is made of the same five parts:
If a vendor can't clearly point to all five, you're looking at a demo, not a system.
Score each candidate task from 1–5 on four questions. Highest total wins.
Anything scoring 16+ is a strong first candidate. Resist the urge to automate the hardest, most judgement-heavy job first — you want an early, visible win that builds trust with your team.
Agents fail in predictable ways. Plan for them from day one:
The businesses that win with AI aren't the ones that hand over the keys. They're the ones that start small, watch closely, and widen the leash only as trust is earned.
One agent, doing one job well, beats a grand plan that never ships. Get the first win, and the next three get easier.
We'll find the one process AI could quietly take off your plate first — and stand it up, safely, with a human in the loop. Book a call and we'll map it together.
